How we handle your information at Quintarion Stelix

Last updated: January 2024

Look, We Get It - Privacy Matters

Here's the deal: we're not one of those companies that's gonna collect every bit of data about you and sell it to the highest bidder. That's just not how we roll at Quintarion Stelix. We're architects, not data brokers.

This policy breaks down what info we gather when you visit our site or work with us, and more importantly, what we do (and don't do) with it. We've tried to keep the legal jargon to a minimum 'cause honestly, who has time for that?

Data privacy and security

What Information Do We Actually Collect?

Stuff You Give Us Directly

When you reach out through our contact form, send us an email, or become a client, you're sharing info like:

  • Your name and how to reach you (email, phone number)
  • Company details if you're representing a business
  • Project specifics and what you're looking to build
  • Any files or documents you share with us during consultations
  • Communication history - you know, emails back and forth, meeting notes, that kind of thing

Technical Stuff We Collect Automatically

Like pretty much every website out there, we collect some basic technical data:

  • IP address (basically where you're connecting from)
  • Browser type and device info
  • Which pages you visit on our site and how long you hang around
  • Where you came from (like if you clicked a link from another site)
  • General location data (city/province level, nothing creepy)
Quick note: We don't collect any financial info directly. If you're making payments for our services, that's all handled through secure third-party processors.

What We Do With Your Information

We're not gonna beat around the bush - here's exactly what we use your data for:

Project Work

Actually delivering the architectural services you hired us for. Kinda the main point, right?

Communication

Responding to your inquiries, sending project updates, scheduling meetings - the usual business stuff.

Website Improvement

Understanding how people use our site so we can make it better. Like figuring out if anyone actually reads our blog posts.

Legal Compliance

Meeting our legal obligations as a Canadian business. Taxes, regulations, all that fun stuff.

We'll occasionally send you relevant updates about our services or sustainability initiatives in architecture, but only if you've said it's cool. And you can opt out anytime - no hard feelings.

Who We Share Information With (Spoiler: Not Many People)

We're pretty protective of your data. Here's the short list of who might see it:

  • Our Team: Obviously, our architects and staff need access to client info to do their jobs.
  • Service Providers: Things like our hosting company, email service, and project management tools. They're all under strict confidentiality agreements.
  • Professional Consultants: Sometimes we bring in structural engineers, sustainability specialists, or other pros for your project. They only get what's relevant to their work.
  • Legal Requirements: If the law says we gotta share something, we will. But we'll let you know unless we're legally prevented from doing so.

We don't sell your information. Period. That's not our business model and never will be.

Cookies & Analytics (The Digital Kind)

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are small files that help our website work better and give us insights into how people use the site.

What Cookies We Use:
  • Essential Cookies: These keep the site functioning. You can't really turn these off without breaking stuff.
  • Analytics Cookies: Help us understand visitor behavior. We use Google Analytics with IP anonymization turned on.
  • Preference Cookies: Remember your settings so you don't have to keep telling us the same things.

Most browsers let you control cookies through their settings. Just know that blocking all cookies might make some parts of the site not work as smoothly.

Data Retention - How Long We Keep Your Stuff

We keep your information as long as we need it for the purposes outlined here, or as required by Canadian law. For project files, that's typically 7 years after completion (professional liability reasons). For general inquiries that don't turn into projects, we'll keep your contact info for about 2 years then delete it if we haven't heard from you.

Your Rights (Because It's Your Data)

Under Canadian privacy laws (PIPEDA and provincial regulations), you've got some solid rights regarding your personal information:

Access

You can ask to see what personal info we have about you. We'll get it to you within 30 days.

Correction

If something's wrong or outdated, let us know and we'll fix it.

Deletion

Want us to delete your data? We'll do it, unless we've got a legitimate legal reason to keep it.

Withdrawal of Consent

Changed your mind about marketing emails or other non-essential stuff? Just say the word.

To exercise any of these rights, shoot us an email at info@quintarionstelix.info. We'll need to verify your identity first (for obvious security reasons), but then we'll get it sorted.

How We Protect Your Data

We take security seriously - probably because we're also paranoid about our own data. Here's what we do to keep your information safe:

  • SSL encryption for all data transmitted through our website (that's the little lock icon in your browser)
  • Secure, encrypted storage for all client files and communications
  • Regular security audits and software updates
  • Limited access to personal data - only team members who actually need it get access
  • Strong password policies and two-factor authentication for our systems
  • Regular backups (stored securely, of course)

That said, no system is 100% foolproof. If there's ever a data breach that affects you, we'll let you know ASAP and tell you what we're doing about it.

Third-Party Links

Our website might link to other sites - like suppliers, sustainability organizations, or industry resources. Once you click through to their sites, this privacy policy doesn't apply anymore. We'd recommend checking out their privacy policies too, especially if you're sharing any personal info with them.

Children's Privacy

Our services aren't directed at anyone under 18. We don't knowingly collect information from kids. If you're a parent and think your child has given us their info, reach out and we'll delete it immediately.

Changes to This Policy

Sometimes we'll need to update this policy - maybe because we've added new services, changed how we work, or because privacy laws have changed. When we make significant changes, we'll post a notice on our website and update the "last updated" date at the top.

For major changes that affect how we handle your data, we'll try to give you advance notice via email if we have your contact info.

Questions? We're Here to Help

If you've got questions about this privacy policy or how we handle your data, don't hesitate to reach out. Seriously, we'd rather you ask than worry about it.

Regulatory Compliance

We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. If you're not satisfied with how we've handled a privacy concern, you've got the right to file a complaint with the Office of the Privacy Commissioner of Canada.

But honestly, we'd prefer if you came to us first. We're reasonable people and we'll do our best to sort things out.

This privacy policy is governed by the laws of British Columbia and the federal laws of Canada applicable therein.
